Operations 101

# What is a system of reality?

The live picture of what's actually true in your operation, not just what got written down.

**Quick answer:** A system of reality is one live, connected picture of what's actually happening in your operation right now. It links the records scattered across your ERP, project tools, telematics, spreadsheets, and field updates, keeps track of what's current and what's gone stale, and shows where every fact came from. Systems of record tell you what was written down. A system of reality tells you what's true.

## Why "reality" and not just "record"?

Your systems of record are good at one thing: storing what someone entered. They don't know when that entry stopped being true.

A project board that stopped getting updates three weeks ago looks just as confident on day 21 as it did on day 1. The equipment list says a machine is on one job. The telematics feed says it's been parked at the yard all week. The invoice that explains the difference is sitting in someone's inbox.

Every system holds one slice. It's the old story of the blind men and the elephant: finance, operations, the field, and IT each describe a different animal, and each one is accurate about their piece. Nobody has the whole elephant.

That gap between what's recorded and what's real is where cost overruns, idle equipment, and late surprises live. A system of reality closes it.

## What makes something a system of reality?

Plenty of tools claim to give you "one source of truth." A real system of reality has five traits:

1. **Connected.** It links every relevant system, not just the ones with clean APIs. Spreadsheets and field updates count.
2. **Modeled.** An [ontology](https://www.ontollo.com/learn/what-is-an-ontology?hsLang=en) defines what things are and how they relate, so "job" in your ERP and "project" in your PM tool resolve to the same thing.
3. **Current.** It knows how fresh each fact is and flags when something has gone stale, instead of showing old data with full confidence.
4. **Traceable.** Every fact points back to where it came from, so anyone (or any AI) can check it.
5. **Permissioned.** Each person sees the slice they need, down to the row. A project manager sees their project. The CFO sees the portfolio.

Miss any one of these and you're back to a dashboard nobody fully trusts.

## System of reality vs. system of record vs. data warehouse vs. digital twin

These all deal with "the truth" about your operation. They just answer different questions.

| | What it holds | Looks at | Best for |
| --- | --- | --- | --- |
| **System of record** | The official entries for one function (ERP, PM tool, HR) | What was entered | Running a single process |
| **Data warehouse or lake** | Copies of data from many systems | The past, in batches | Analytics, reporting, and training models |
| **Digital twin** | A model of a physical asset | The asset itself | Engineering, simulation, maintenance |
| **System of reality** | A live, connected model of the work | What's true right now | Operational decisions and AI that acts |

The short version: a digital twin models the asset. A system of reality models the work around it, including the people, projects, costs, and decisions. And unlike a warehouse, it's built for acting today, not reporting on last quarter.

Want the bigger picture? See how a system of reality fits with a [system of action](https://www.ontollo.com/learn/what-is-a-system-of-action?hsLang=en).

## What does a system of reality look like in practice?

Take a simple question every equipment-heavy operation asks: **"Do we have the right equipment on this job, and what is it costing us?"**

- Telematics knows where each machine is and how much it runs.
- Hire contracts know what you're renting and at what rate.
- The ERP knows what you're paying.
- The project schedule knows what each job needs, and when.

Each system answers part of the question. None of them answers all of it. Today, someone pulls exports from four places into a spreadsheet, and by the time it's done, it's out of date.

A system of reality connects those pieces. Now you can see an owned machine sitting idle at one site while you pay rent on the same type of machine at another. That's not a report. It's a decision waiting to be made.

## Why does AI need a system of reality?

**AI is only as good as its context.** Feed a model stale or conflicting data and you get confident, wrong answers. Feed it current, connected facts and the answers get sharper. (Research from [Chroma](https://research.trychroma.com/context-rot) shows models also do worse as you stuff more text into the prompt, so precise context beats more context.)

**Answers you can check.** When every fact carries its source, your team can verify an AI answer in seconds instead of re-running the numbers by hand.

**Agents act on what's true now.** Before an AI agent books equipment, approves an invoice, or reschedules a crew, it needs to know the current state, not last month's export. A system of reality is the ground truth that a [system of action](https://www.ontollo.com/learn/what-is-a-system-of-action?hsLang=en) runs on.

**One truth for every app and agent.** As teams spin up their own AI tools, a shared system of reality keeps them all on the same facts. Without it, every tool builds its own copy, and the copies drift.

## Do you need a giant data project to build one?

No. You don't need a six-month data platform project first, and you don't need to replace anything.

Start with one painful, cross-system question (like the equipment example above). Model only the things that question touches, built on open standards like [schema.org](https://schema.org/) and [W3C OWL](https://www.w3.org/OWL/) so it can grow. Connect the systems that hold the answer, including the spreadsheets. Then capture updates where the work happens, so the field stops being weeks behind the office.

Each new question adds to the same model. That's how a system of reality grows: one useful answer at a time.

## Where Ontollo fits

**Ontollo's System of Reality** connects the tools you already run into one live picture of your operation, built on an [ontology](https://www.ontollo.com/learn/what-is-an-ontology?hsLang=en). Every fact is current, traceable, and permissioned by role.

**Ontollo's System of Action** turns that picture into work: events get prepared, routed to the right person, confirmed, and written back to your systems of record, with a record of every decision.

Your ERP, project tools, and data platform all stay. Ontollo sits on top and makes them tell the same story.

## System of reality FAQ

### What is a system of reality in simple terms?

A system of reality is one live, connected picture of what is actually true in your operation right now. It links the records spread across your systems, keeps them current, and shows where every fact came from.

### How is a system of reality different from a system of record?

A system of record stores what was written down in one part of the business, like an ERP or a project tool. A system of reality connects all of those records into one current picture and flags when something is out of date.

### Is a system of reality the same as a data warehouse or data lake?

No. A data warehouse or lake stores copies of data for analysis, usually looking back. A system of reality models the live state of your operation, linked to the source systems, so people and AI can act on it.

### Is a system of reality a digital twin?

They are related but different. A digital twin models a physical asset, like a building or a machine. A system of reality models the work around it: the people, projects, costs, and decisions.

### Why does AI need a system of reality?

AI answers are only as good as the context they get. A system of reality gives AI current, connected facts with sources attached, so answers can be checked and agents act on what is true now, not last month.

### Do I need to replace my existing systems to get a system of reality?

No. A system of reality sits on top of the systems you already run. Your ERP, project tools, and spreadsheets stay where they are.
